INDUSTRY-SPONSORED PROGRAMS
Exhibiting at the
meeting is only the first step. Exhibitors also have an
exclusive opportunity to sponsor and conduct presentations
during Exhibitor Theaters and/or Symposia at the ICNT 2005
Application/Payment
To conduct a session, you must have an industry sponsor who
has contracted for a booth in the exhibit hall. The exhibitor
must have already submitted a contract for a booth prior to
submitting the Symposium or Exhibitor Theater application.
Full payment must accompany applications. Applications will be
processed on a first-come, first-served basis.
Authorized Representatives
Sponsoring companies (exhibitors) wishing to use meeting
planning and/or education companies to coordinate their
programs must provide a letter on company letter head
authorizing the meeting planning or education company to serve
as their agent (please attach to the application).
Publicity
Participating companies who publicize their presentation/s
may not use the IANano logo or the name of International Association of Nanotechnology, Inc. as a co-sponsor
of the presentation. The only phrase that may be used is: “To
be conducted at the ICNT 2005”. Program information will be published in ICNT
materials according to the schedule listed in the deadlines
section. See Advertising and
Sponsorship section for details on promoting your
program via the IANT web site.
Signs
For Exhibitor Theaters, one (1) sign not to exceed 30" x
40" in size may be posted outside of the session door. An
easel will be provided. For Symposia, consult with hotels
directly for rules regarding placement of signs.
ICNT does not permit distribution of flyers or placement of
signs in other areas of the convention center (outside of the
sponsor’s booth).

Deadlines

Final deadline to submit applications for Exhibitor
Theaters and Symposia.
September
1, 2005
• Publication deadline for Exhibitor Theaters and Symposia
listing in the October 15 Online Bulletin Board of the ICNT. (ICNT
will publish the session title, sponsor, contact name and
phone number.) Information will also be posted on the ICNT
web site in early October.

Changes/Withdrawals
Changes to your program title or schedule must be made in
writing and sent to ICNT Event Coordinator at
service@ianano.org
or fax to 916-244-7029
. A withdrawal must also be made in
writing and will not be accepted unless written notice of such
withdrawal has been received by ICNT no later than
September 1, 2005. Sponsors who withdraw after
September 1 shall pay to ICNT, as liquidated damages, a sum
of money equal to fifty percent (50%) of the full price of
Exhibitor Theater or Symposium. ICNT shall retain the full
price of the Exhibitor Theater or Symposium as liquidated
damages for any sponsor who withdraws after October
1, 2004.
Confirmation
All applications are subject to approval by ICNT. The
Association will
confirm the schedule and room assignment of Exhibitor Theaters
in late September. Sponsors conducting symposia will be
contacted by the hotel directly with confirmation of meeting
space/room assignments.
Requests for Functions
Organizations participating in the ICNT wishing to conduct business appointments, meetings,
or social activities must complete a “Request
for Function Space” application and fax it to the ICNT Event
Manager at

service@ianano.org for approval and processing.
Functions may be scheduled at any official ICNT hotel but not
during ICNT program hours or exhibits. The deadline for
submission of application is October 1, 2005. Hotel
assignments will be made on a first-come, first-served basis
and based on hotel availability. Confirmation of meeting
space/room assignments will be made by the hotel directly to
the applicant.

Sessions will be held in meeting rooms at
the Hyatt Regency Hotel. Rooms will be set to capacity in a
theater style setting (approximately 150 people). |
Sessions will be held in meeting rooms at
official ICNT hotels. All space requests must be approved
and coordinated through ICNT. Space will be available on a
first-come, first-served basis, based on hotel
availability. |

Sessions will be conducted
October 31-November 4, 2005 during mid-day hours.
Time is allocated in one-hour time blocks. Sessions are
scheduled 11:30 a.m.–12:30 p.m. and/or 12:45–1:45 p.m.
each day. Sponsors may request one or two hours session.

Sessions will be conducted
October 31 and November 4, 2005 during times that do not conflict with
ICNT programming and exhibits. Permissible Times: Sunday (anytime); Morning programs: Monday–Thursday
(anytime before 8:30 a.m.). All programs must conclude by
8:30 a.m ; Evening pro-grams: Monday–Wednesday (anytime
after 5:30 p.m.). |

Food/Beverage,
Audio-visual and
Meeting Room |
Exhibitor Theaters will be assigned to a meeting room
at the Hotel, set theater-style (room
set up may not be changed). ICNT will provide a speaker’s
table and chairs and registration table and chairs. ICNT will also provide a lavaliere microphone at lectern,
appropriate size screen, and an extension cord at the
registration table. Additional equipment must be ordered
and provided at sponsor’s expense. Companies conducting
two-hour sessions may purchase and provide box lunches and
soft drinks to attendees at the conclusion of the session,
directly outside the assigned theater room. Companies
conducting one-hour sessions may purchase and distribute
food vouchers to exchange for a box lunch or other
concession in the Hotel. |
Sponsors must make their own arrangements
for catering and/or audio visual equipment directly with
the hotel after space has been assigned and must be
provided at the sponsor’s expense. Food and beverage,
audiovisual and meeting room rental fees are separate
charges that will be provided at the sponsor’s expense. |
